Draft. This is a plain-language statement of how we operate, written by the product team and not yet reviewed by a lawyer.

What the service is

Willowspan is a calculation tool. You supply figures about your association — component costs, useful lives, remaining lives, balances, budgets — and we project cash flow and compare funding options from them.

The output is a funding plan. It is not a reserve study, and it is not prepared or verified by a credentialed reserve professional or engineer.

What we do not do

  • We do not determine or certify compliance with any statute, regulation or governing document, in any jurisdiction.
  • We do not determine whether a condominium project is eligible, approved or warrantable for any form of financing.
  • We do not provide legal, accounting, tax, engineering or investment advice.
  • We do not generate cost estimates. Every figure in your plan is one you entered.

Several states require a reserve study prepared or verified by a qualified professional. Confirm what applies to you with your association’s attorney.

Accuracy, and its limits

The arithmetic is deterministic and tested, and we publish exactly how it works. But a forecast is only as good as its inputs, and the inputs are yours. A wrong remaining life or an out-of-date replacement cost produces a confident, wrong answer.

Where we cite published guidance, we print the date we read it. Guidance changes and we may not update immediately. Verify anything you rely on against the current source.

Your data

Your plan is yours. Self-service export provides complete plan-and-scenario JSON, plus component and current-forecast CSV, on every plan including the free one. It does not include account, authentication, membership, invitation, or billing metadata. We do not sell it and we do not share it with advertisers.

Without an account, your plan is stored in your own browser. Clearing site data deletes it, and we cannot recover it. After signing in with Firebase Authentication, choose Save to my account to store the plan in Cloud Firestore, so it can outlive a change of computer and a change of treasurer; everyone invited to the association can see and edit it.

To delete a server-stored plan, an owner deletes the association, which removes its plans, its unit roster and every membership with it. There is one condition, and we would rather state it here than have you meet it at the button: while a paid subscription is still live we refuse the deletion and ask you to cancel it first. Deleting the association takes the billing record with it, and a card that goes on being charged with nothing left to cancel it from is a worse outcome than a wait. Cancelling normally runs to the end of the term you have already paid for, so on an annual subscription that wait can be most of a year. Your export is available throughout.

Deleting the association does not delete the user account, email, authentication, or session records. Membership removal only removes that person’s access. The last owner cannot leave until they make someone else an owner or delete the association. There is no self-service account deletion; direct requests can use the support channel described in the privacy policy.

The privacy policy describes both arrangements in full, including what an account collects and the scope of self-service exports.

Liability

The service is provided as is, without warranty of fitness for any statutory or regulatory purpose. To the maximum extent the law allows, our total liability to you is limited to the fees you have paid us in the preceding twelve months — which, if you are using the free plan, is nothing.

Decisions about dues, assessments, borrowing and capital projects are your board’s, made under its own duties. Nothing here transfers that responsibility to us.

Changes

We will date material changes to these terms and to the methodology page. If a change affects what we claim about the output, we will say so plainly rather than quietly revising.
